NEW CUSTOMER

First-contact intake — what's needed to identify the customer and build a quote, nothing more. The credit application (EIN, bank, references) is requested separately, later, by email.
1 — COMPANY
Legal entity name — as it appears on their W-9. Matches Stripe and QuickBooks. Not a DBA or the contact's name.
Required — a quote can't link to a customer that doesn't exist.
Required.
If unknown on the call, leave it — deciding at quote time beats guessing now. Net terms are what later trigger the credit application.
2 — BILLING ADDRESS
Required — needed to quote at all.
Required.
Required — two-letter state.
Required.
3 — TAX
PDF or photo, up to 5 MB. Can also be emailed later — but the first quote's tax line isn't right until it's on file.
File is over 5 MB — Airtable's upload limit. Email it instead, or attach a smaller scan.
4 — PRIMARY CONTACT
Who the quote — and later the credit application email — goes to.
Required.
Required — quotes and the credit app go out by email.
Creates the Customer and its Primary Contact in Airtable.
Fields marked * are required; everything else can be added later.
